Who to contact

Information you provide
If you send an enquiry, we receive the details you include, such as your name, contact information, requested dates and message. The enquiry form sends your details through FormSubmit to karen@croesoretreats.co.uk. FormSubmit processes the submission to deliver the email and retains a submission archive for 30 days. Please do not include payment details, identity documents or sensitive personal information in this form.
Direct booking forms
For a direct booking, the booking form requests your name, telephone number, email and home address; the property and stay dates; the number of adults, children and infants; pets; and any special requirements. It also records the price, cleaning and pet fees, deposit, balance, payment due dates, confirmation details and your signature. Please describe only the practical arrangements needed for your stay when giving special requirements, rather than sending unnecessary medical details.
How information is used
Enquiry and booking information is used to respond to you, arrange and manage your stay or discuss a property management service, communicate about payment and retain necessary booking and financial records.
Guest identification
For direct bookings, Karen currently requests photographic identification for security and identity verification. Copies may be received by email or WhatsApp and may be printed. Digital copies are deleted after guests leave and paper copies are destroyed. Identity documents are handled separately from the booking and payment records.
Who handles your information
Karen handles guest booking forms and identity documents herself. Guest names, contact details and booking information are not passed to property owners or cleaners. Email and WhatsApp are used to receive documents and communicate with guests; the providers of those services process information as part of delivering their services. Website hosting also processes technical information needed to provide the site.
Retention arrangements — being finalised
ID copies are deleted after guests leave, separately from booking and financial records. The retention periods for booking records and enquiries, the reasons for using each category of information and the remaining service-provider details are being finalised before public launch.
Advertising measurement
If you accept advertising cookies, Google Ads receives technical information such as your page URL, browser information and ad-click identifiers, and a conversion event when a property-owner enquiry is successfully sent. We do not send your form fields, name, email address, telephone number or message to Google Ads. You can reject advertising cookies or change your choice using Cookie settings in the footer.
Videos and website access
Videos are served from this website and play only when you choose. Website hosting may process technical information needed to deliver and secure the site. The private preview also uses its hosting provider’s sign-in system.
Your choices
Contact Karen with a request about the personal information held about you. Applicable data protection rights and the final retention arrangements will be set out in the published policy.
Draft status
This policy is a review draft for the private preview. It must be completed to reflect the final booking, hosting and business arrangements before public launch.
